82nd Southwestern Regional Conference
You are cordially invited to attend the 82nd Southwestern Regional Conference where we will cruise the high seas from Thursday, March 16, 2023, thru Monday, March 20, 2023! The vision and mantra of the Super Southwest will be the theme of our conferences - LEADING WITH LOVE! We look forward to your presence in March 2023! Registration is now open.

Terms and Conditions

Before you submit your Registration Form and Initial Deposit Payment, it is imperative that you review the following very important information to ensure the enjoyment of your cruise experience. You will be unable to continue until you have done so.

DEPOSITS/PAYMENTS 

You have the option to pay in full or take advantage of a payment plan that will require an initial deposit and all payments completed on or before February 17, 2023. Should any payment not be received by the Southwestern Region of Sigma Gamma Rho Sorority by the due date, the Southwestern Region of Sigma Gamma Rho Sorority, Inc. may cancel your reserved stateroom and you will be subject to the specified Cancellation Terms.

 

Payment Options include:

  • Pay in Full

  • Payment Plan with initial $200 non-refundable deposit required. Deposits made in December 2022 will require 50% of remaining balance due by Thursday, January 5, 2023 and the remaining balance due on or before Friday, February 17, 2023. Deposits made in January 2023 will require 50% of remaining balance due at booking and the remaining balance due on or before Friday, February 17, 2023. The deadline to initiate a payment plan is January 31, 2023. Please note: Quantities are limited and are subject to availability.

 

​​​​CANCELLATION POLICY 

Cancellation fees apply to all guests in a stateroom and are assessed in the event of either partial or full stateroom cancellations.  Notice of all cancellations must be made in writing via email to info@sigmaswregion.com

 

  • Through close of business day CST January 10, 2023: A 50% cancellation fee of the total per person cost will be assessed for any cancellation including 3rd and 4th passengers.  

  • From January 11, 2023 until close of business day CST February 10, 2023: A 75% cancellation fee of the total per person cost will be assessed for any cancellation including 3rd and 4th passengers.  

  • From February 11, 2023 until Voyage date: 100% cancellation fee.  There will be no refund or credit of any kind.

COVID-19 VACCINATION REQUIREMENTS:  

COVID-19 Vaccination is no longer required to sail on Royal Caribbean from the US.  Below are the latest protocols, but are subject to change.    Please click HERE to access the most updated protocols.

  • Vaccinated guests are not required to take a test for sailings of 9 nights or fewer.  

  • Guests age 12 and up who are not vaccinated have 3 days to take a test before their cruise, regardless the duration of the cruise. 

  • Guests under the age of 12, do not need to take a test prior to cruising. 

 

Required testing can be completed using any type of PCR or antigen COVID-19 test. It can be professionally proctored at your doctor or drugstore, or it can be a test you administer to yourself at home without supervision. Tests must be arranged on your own and are at your own expense. 

 

Please note: A guest is considered fully vaccinated 14 days after the required number of doses in their vaccine series have been fully administered (e.g. 2 shots of Pfizer, Moderna, AstraZeneca, etc., or 1 shot of Johnson & Johnson). Vaccines must be approved for use by the WHO or U.S. FDA, with the exception of CanSino. 

 

The overall health and well-being of those that attend the 82nd Southwestern Region Conference is a key priority!   Attendees will be required to complete a waiver. 

 

Please complete the MANDATORY COVID-19 WAIVER no later than Tuesday, February 28, 2022.

PROOF OF CITIZENSHIP 

Participant(s) are required to abide by the US State Department and Department of Homeland Security regulations regarding proof of citizenship. All participants (from babies and up) are required to have a valid passport OR State Certified Birth Certificate and a supporting Government Issued Photo ID, like a driver’s license or an identity card. Please note that hospital Birth Certificates (baby feet Birth Certificates) are not accepted.  Because of processing time, we encourage all passengers to apply for a passport at least three months prior to departure. A lack of the proper identification will lead to denied entry to the cruise ship, and no refunds will be made. 

 

DOCUMENTATION FOR BOTH U.S. AND NON-U.S. CITIZENS: 

It is the responsibility of all Non – U.S. Citizens to check with their consulate to determine what documentation is required for them to cruise on the itinerary in question. Because these requirements vary by Country and can change at any time, neither we nor the cruise line will assume any responsibility for advising passengers what is required for foreign nationals. Requirements for U.S. Citizens may also change. We will do our best to assist, but cannot be held responsible for passengers who are denied boarding because they are unable to provide the required documentation at the port of embarkation.

PASSPORTS & VISAS 

You must have a passport valid for six months past the expected end date of your tour. It is also your responsibility to obtain valid entry visas for all countries where so required, prior to departure. Failure to obtain correct documentation may affect your participation in all or any portion of the tour. Royal Caribbean Cruise Line will not provide any refunds if you are not able to participate in the tour, or any part thereof. You will be responsible for any costs you incur as a result of your failure to obtain the required documentation including, without limitation, any costs associated with rejoining the tour or returning home. MEDICAL POLICIES & AGE RESTRICTIONS 

Guests with medical impairments that require the use of dialysis or oxygen should contact Royal Caribbean Cruise Line to discuss policies and procedures for bringing the appropriate equipment onboard. For expecting mothers, Royal Caribbean Cruise Line may require a “Fit to Travel” certificate from the woman’s doctor in order to board the ship. Royal Caribbean Cruise Line's specific policies regarding pregnancy and age restrictions are as follows: 

​ 

A. Minors – Any Guest under the age of 18 shall be considered a minor and must travel with a parent or Legal Guardian or such other person as may be permitted by Carrier’s policies. No Guest under the age of 21 will consume any alcoholic beverages while on board the Vessel or Transport, except as may be permitted by Carrier’s policy. No Guest under the age of twenty-one (21) will be booked in a stateroom unless accompanied by an adult twenty one (21) years of age or older, except for minors sailing with their parents or guardians in adjacent staterooms, or for under-aged married couples (proof of marriage is required). Carrier reserves the right to request proof of age at any time and Passenger’s age on the date of sailing determines his or her status for the entire cruise vacation.

B. Pregnancy and Infants – Any Passenger who will enter the 24th week of pregnancy by the beginning of, or at any time during their cruise, agrees not to book the cruise or board the Vessel or Transport under any circumstances. No infants under a specific age (at least six (6) months old) shall be booked on a cruise, nor brought onboard the Vessel or Transport by any Passenger under any circumstances. 

  

Sigma Gamma Rho Sorority cannot be held responsible for passengers who may be denied boarding by the cruise line because they failed to comply with the specified cruise line’s requirements related to pregnancy and minimum age. If you have another type of medical condition that has not been mentioned, please inquire about policies and procedures that may affect your cruise.

ITINERARY CHANGES OP DEVIATIONS 

As provided more specifically in the Cruise Line’s Cruise Ticket Contract, departure and arrival times are not guaranteed and any part of the itinerary is subject to delay, and to port of call cancellations occasioned by weather conditions, exigencies of safe navigation, navigation through regulated waters, ports and channels and other causes beyond the control of the Cruise Line and may be changed at any time at the Cruise Line’s sole discretion. In the event of a conflict between this section and the Cruise Line’s Cruise Ticket Contract, the terms of the Cruise Ticket Contract shall govern.  Cruise Line and Sigma Gamma Rho Sorority will use commercially reasonable efforts to notify Client and Guests of any itinerary changes.  

 

RESPONSIBILITY AND LIABILITY 

The Southwestern Region of Sigma Gamma Rho Sorority, Inc. is responsible for arranging and providing services and accommodations offered in connection with 82nd Southwestern Region Conference.  The Southwestern Region of Sigma Gamma Rho Sorority, Inc. does not own or operate, control, manage, direct or in any way influence, nor is it an agent for any of the firms which will provide goods and services for any option which may be available in connection with the Cruise, including but not limited to outside transportation, shore excursions and other similar services.  Accordingly, individuals who register for the 82nd Southwestern Region Conference through the Southwestern Region of Sigma Gamma Rho Sorority, Inc. agree to seek remedies directly with the Cruise Line and other operators and not to hold the Southwestern Region of Sigma Gamma Rho Sorority, Inc. liable, in the absence of its negligence, for any loss, injury, delay or negligent act, criminal or otherwise, of any entity providing goods or services in conjunction with the Cruise or any available option including but not limited to the quality of services, cleanliness of the ship, cruise line overbooking or any other arranged transportation. Neither party shall be liable for circumstances beyond its reasonable control including but not limited to force majeure. 

  

You acknowledge that, except as set forth herein or in Cruise Line’s brochure, the Southwestern Region of Sigma Gamma Rho Sorority, Inc. has not made any representation or promises with respect to the cruise described herein expressly set forth in the Operator’s literature, unless such agreement is in writing and signed by an officer of the Operator. At any time, Cruise Line may decline, for any reason, any person as a Participant on a cruise (or option) whereupon Cruise Line’s only obligation shall be to refund to such person that portion of payment allocable to the unused cruise services.

DOCUMENT MAILING 

Cruise documents shall be delivered by electronic documents (“eDocs”); however, paper tickets will be available for a fee.  Sigma Gamma Rho Sorority will send your cabin confirmation and reservation number, along with instructions to complete the online check-in process and print the eDocs. This email will be sent approximately 30 days prior to sailing date.

By Checking in, you can:   

  • Ensure that your personal information is correct on all necessary travel documents 

  • Inform us of any special occasions and dietary needs 

  • Book shore excursions and onboard activities 

 ​ 

INTERNET PACKAGE

Internet packages may be purchased by Guests in advance online through Cruise Line’s guest portal once Guest has received Reservation Number from Agent. Corporate Cruise Consultants recommends Guests purchase Internet packages online in advance to avoid higher prices onboard. 

 

MINIMUM AGE TO CRUISE 

The minimum age to cruise is six months old. No Guest under the age of eighteen (18) will be booked in a stateroom unless accompanied by an adult.

NAME CHANGE POLICY 

There will be no name changes or alterations to the rooming list within 72 hours prior to the departure date. Name changes made within 30 days prior to departure will be assessed a $75.00 per name change charge.  

​

FORCE MAJEURE 

If Cruise Line cancels the Cruise due to Acts of God, breakdown of the Vessel, hostilities, blockades, labor conflicts, strikes aboard or ashore, restraint of rulers or princes, war, fire, collision, directions of underwriters, arrest, order or restraint by governmental authorities or others (including due to the actions of port officials or government-imposed travel restrictions), acts of terrorism, civil commotions, embargo, weather conditions or considerations of safety of the Vessel (of which the Master shall be the sole judge), foundering of the Vessel or breakdowns of or damage to its hull, machinery and fittings, inability to secure or failure of supplies including fuel, requisition of the Vessel, disease, epidemic, or pandemic, or other circumstances beyond the Cruise Line’s control (including but not limited to a change in Cruise Line’s fleet deployment caused by any of the aforementioned events) (collectively such causes shall be referred to as “Force Majeure Events”), All amounts paid by Guests will be refunded. However, Southwestern Region of Sigma Gamma Rho Sorority, Inc. shall be permitted to retain, at minimum the management fee of $100.00 per person.

FUEL SUPPLEMENT 

Cruise Line reserves the right to impose a fuel supplement on all guests if the price of West Texas Intermediate fuel exceeds $65.00 per barrel at any time prior to the departure of Cruise. The fuel supplement for 1st and 2nd Guests in a stateroom would be no more than $10.00 per person per day, to a maximum of $140.00 for the entire cruise; and for additional Guests in the same stateroom would be no more than $5.00 per person per day, to a maximum of $70.00 for the entire cruise. Any such supplement charges shall apply to both existing and new bookings (regardless of whether such bookings have been paid in full).

GUEST REQUIREMENTS 

As a condition to sailing on the Cruise, each Guest will be required to: (i) agree to be bound by the Cruise Ticket Contract; (ii) complete Cruise Line’s Online check-in Process, providing proof of citizenship and identification and emergency contact information as part of the process; (iii) agree to Cruise Line’s Health Acknowledgement related to COVID-19 (the “Health Acknowledgment”), which includes an acknowledgement of risk and an agreement to comply with Cruise Line’s Guest Health, Safety and Conduct Policy, as well as its health and safety instructions; and )iv) undergo COVID-19 testing and health screenings, according to the protocols and procedures outlined on Cruise Line’s website. Each Guest must agree to be bound by the Cruise Ticket Contract and to agree to the Health and Acknowledgment upon being added to the Group. Failure or refusal by a Guest to do any of the foregoing will result in removal of the Guest’s booking from the Group and/or the denial of boarding, which may result in cancellation charges as specified in the Cancellation Section.

SOUTHWESTERN REGION UPDATES

Quantities are limited and are subject to availability. Book early to secure your space. Pricing and agenda are subject to change. To be included as a participant in the 82nd Southwestern Region Conference you must register under the region’s booking. Any reservations done outside of the Southwestern Region of Sigma Gamma Rho Sorority, Inc. will not be granted access to events, conference activities, etc.

Wave 1 Registration was opened December 7, 2022 with category prices as listed on the registration page. Per the Southwestern Region Updates section of the Terms & Conditions, quantities were limited and subject to availability. Pricing and agenda are subject to change.
